Rights and permissions
PLA 3.0 provides the features you need to control access to your data in a sophisticated and compliant manner. It combines role-based user rights with resource-based permissions, which enables you to exercise fine-grained control over who can perform particular tasks in a given context and which tasks are allowed with particular data.
Folder properties
Set up folder properties to restrict the content of folders to particular document types and to documents generated from particular document templates. Set the names of folders. Customize the identification key formats of folders and of the documents and templates they contain.
Document restrictions
Use document restrictions to enforce the use of templates and prevent users from creating documents that are not generated from templates. You can also set up restrictions such that folders can contain specific document types only.

- Databases
  PLA 3.0 databases store all your data and also hold information such as user accounts, rights and permissions, signatures, and audit trail information. When logging in to PLA 3.0, users connect to a specific database, which sets their work environment for the session.
- Extensibility with add-ons
  PLA 3.0 consists of a framework and add-ons. The PLA 3.0 framework handles data as electronic documents. It provides the features you need to achieve regulatory compliance such as access control, data integrity, security, validation, and traceability.
- Rights and permissions
  PLA 3.0 provides the features you need to control access to your data in a sophisticated and compliant manner.   - Account management
    Set up users, groups, and global roles. Use global roles to control who can perform particular database tasks such as setting up database policies or managing user sessions. Set up document roles and assign them to users and groups to define security contexts. Apply these security contexts to folders to control who can perform particular document tasks.

    Set up folder properties to restrict the content of folders to particular document types and to documents generated from particular document templates. Set the names of folders. Customize the identification key formats of folders and of the documents and templates they contain.
    - Document key formats
      PLA 3.0 identifies documents, templates, and folders by unique keys. You can adapt the formats used to generate these identification keys according to your requirements.
    - Document restrictions
      Use document restrictions to enforce the use of templates and prevent users from creating documents that are not generated from templates. You can also set up restrictions such that folders can contain specific document types only.

You map your PLA 3.0 groups, which have PLA 3.0 roles assigned, to user groups set up on a directory server. You cannot directly assign directory users to PLA 3.0 groups.

Regulatory compliance

Configure template restrictions

By default, folders are not restricted to a specific template. You can change the default setup such that users can only work with particular templates in a folder.

Note: For this configuration you require the Edit folder properties document permission. To access the Document restrictions tab, you require the Read folder properties document permission.

About this task

To configure template restrictions, you employ template folders. Template folders are standard folders that you designate for this purpose. They hold all templates you want to make available to users. You can configure several template folders and assign them to different folders, for example, to cater to different laboratory groups.

For this procedure, we use a sample setup where two document types are available in the database. Each document type provides a from scratch option. Document type A provides one template, document type B two templates:

Procedure

To configure template restrictions:

In the Navigator, right-click the folder for which you want to change the properties.
From the context menu, select Folder properties.
In the Folder properties dialog, navigate to the Document restrictions tab.
Select Change configuration.

Tip: To reset all settings to their default, select Reset configuration.
Under Templates, activate the Restrict available templates option.
Example:
In this example, the template folder holds two templates, one for each document type. Assigning the template folder restricts the available templates accordingly. The second template for document type B is no longer visible in the Create a new document dialog:

Select Change… next to Template folder.
In the Select folder dialog, navigate to the folder that holds your templates, and confirm your selection with OK .
If users should not be able to create documents from scratch, select the New documents must be created using templates option.
Example:
In this example, the template folder provides a template for document type B. As document type A does not contain a template from the template folder and from scratch options are not allowed, the complete document type is not visible.
