Use case 3: Set up assay work list

This use case involves managing assays that require review and approval as part of the quality assurance process. To streamline daily QA tasks, the process provides an organized overview of assays awaiting action, enabling efficient tracking of progress, prioritization of reviews, and timely approvals.

We meet members of the Stegmann Labs team, a fictitious contract laboratory where PLA 3.0 plays an essential role in every step of bioassay analysis.

About this use case

Xiaoling, the QA specialist at Stegmann Labs, utilizes a Table document to support this workflow. The document serves as a dynamic work list, helping her stay organized and ensuring she can efficiently complete all required QA steps.

She collaborates closely with Alice, the Senior Laboratory Technician, to ensure high-quality standards in their project. While Alice performs initial quality checks and signs off on assay data, Xiaoling ensures the respective assays are properly tracked, reviewed, and updated in her work list.

Xiaoling begins by aggregating data from referenced assay documents. She switches the setting from User input to Aggregation, ensuring the Table dynamically pulls data from linked sources.

Column: Document reference

To include assay documents signed by Alice, Xiaoling references the folder where the documents reside. She uses the following configuration:
  • Update mode: She selects 'Auto all' to automatically include all documents within the folder.

  • Folder key: Links the Table document to the folder containing Alice's assays.

  • Allow subfolder: Setting this to 'true' ensures that documents in subfolders are included as well.

Document property filter

Xiaoling applies filters to include only documents with a data area signed by Alice. This lets her focus on documents relevant for the current project. She sets the following property keys to 'true':
  • http://stegmannsystems.com/edp/document/property/hasDatasetSignature to filter for documents with a signed dataset.

  • http://stegmannsystems.com/edp/document/property/signedbyid to filter for documents signed by Alice.

Workflow and benefits

Once Xiaoling set up the Table document, she accesses it daily to track assays and their review status. When Alice signs off on the data area of an assay, Xiaoling reviews the assay and, if the assay is correct, signs it herself. This practice ensures that Xiaoling does not overlook a document and lets her maintain a clear audit trail of completed work.
